How we work

Four phases.One named partner.

Every Stadia matchday runs on the same cadence — brief, confirm, run, debrief. The phases are not a methodology to learn; they are the rhythm we keep so nothing falls through.

01

Brief · Day 0–3

We start with the outcome.

Fixture, principal party, narrative arc, must-have moments. Constraints up-front — dietary, accessibility, post-match flights, sensitive guests. We map your matchday backwards from how the story should land internally on Monday morning.

Deliverables

  • ·Operating brief signed off in writing
  • ·Named partner assigned (same person from brief to debrief)
  • ·Fixture options surfaced with pricing transparency, no broker mark-up

02

Confirm · Day 3–10

Inventory locked, logistics planned.

Tier selection against current matchday allocation. Transfers, dining and pre/post-match programming locked against signed-off budget. A single-page run-of-day document goes to your principal party 14 days before kick-off.

Deliverables

  • ·Tickets confirmed against direct-access inventory
  • ·Run-of-day document, version-controlled
  • ·Transfer + dining + suite contracts on file

03

Run · Matchday

We are on the ground.

Named human partner present from arrival to wind-down. Live status board for every guest leg. Real-time issue rerouting (weather, transfer delays, dietary substitutions). Your host team can be present rather than firefighting.

Deliverables

  • ·Concierge present in person, not by SMS
  • ·WhatsApp status thread for the host team
  • ·Photographer on call (subject to package tier)

04

Debrief · Day +1 to +5

Capture so the next fixture compounds.

Asset pack, debrief notes, signature moments documented in a shared workspace. Decisions, owners and dates from internal conversations on the day are captured — the matchday becomes the storytelling spine for Q+1, not an isolated event.

Deliverables

  • ·Asset pack delivered within 5 days
  • ·Debrief workshop with the host team
  • ·Annual hospitality calendar plan refreshed

Concierge SLA

One business day to first reply. Always a human.

From the moment the brief lands, you have a named partner. The same person you sign with is the one on the ground at kick-off and the one who runs the debrief the week after. No relay, no rotation.
